Terms of service

Last updated 26 October 2026

About these terms

These terms are between Spondo, Shoreditch Exchange, Senna Building, Gorsuch Place, London E2 8JF ("we"), and the organisation that uses Spondo ("you"). Spondo is for businesses, not consumers. By creating an account or using Spondo for an organisation, you confirm you're allowed to accept these terms for it. A separate signed agreement with us takes precedence over these terms where they differ.

The service

Spondo breaks down your organisation's AI tool costs by person, team and project, and prepares month-end journals for your accounting software. We're building it with a small number of customers, so features will change as it develops. We work to keep it available and accurate, but don't promise it will be uninterrupted or free of errors.

Spondo is currently free for the organisations we're building it with. If we introduce fees, we'll agree them with you in writing before charging anything.

Your account

Your owners and admins decide who has access, and can invite and remove people. Keep logins secure, and tell us at security@getspondo.com if you think an account has been compromised. You're responsible for what's done in your account by the people you give access to.

Your data

Your data stays yours. You let us use it only to provide Spondo to you, as our privacy notice and security page describe; we act as your processor under UK and EU GDPR, and will sign our standard data processing agreement or review yours. You confirm you're entitled to send us the data you do, including telling your staff that their AI usage is reported to Spondo.

Connections and journals

You choose which of your systems to connect, and your admins can disconnect any of them at any time. Spondo writes to one place only: draft manual journals in your accounting software, which your team reviews and approves there. Spondo's figures are allocations made from your providers' bills and usage data, so check them before you rely on them. Your accounting, tax and reporting decisions stay yours.

Acceptable use

Don't use Spondo to break the law, try to reach other customers' data, disrupt or overload the service, probe it for weaknesses without telling us first, or resell it. If you find a vulnerability, please report it to security@getspondo.com.

Our software

We own Spondo and everything we build for it. You can use it for your organisation's own purposes while these terms apply. If you send us feedback or ideas, we can use them without owing you anything.

Confidentiality

Each of us will keep what the other shares in confidence, and use it only for the purposes of these terms, unless it's already public or the law requires otherwise.

Ending

You can stop using Spondo at any time by telling us. We can suspend or end your access if you seriously break these terms, or end it for any reason with 30 days' notice. When your use ends, we delete your data within 30 days, or sooner if you ask.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited. Otherwise, neither of us is liable for indirect or consequential loss, or for lost profits, revenue or data, and our total liability to you under these terms is limited to the fees you paid us in the 12 months before the claim.

Changes to these terms

If we change these terms in a way that matters, we'll email your account owners before the change takes effect. Continuing to use Spondo after that means you accept the new terms.

Law

These terms are governed by the law of England and Wales, and its courts deal with any dispute about them.
